How Long Must EU Machinery Instructions Remain Available?
Understand the ten-year online availability rule for digital instructions and the separate records manufacturers must retain.
“Ten-year machinery documentation” is used to describe more than one duty. Regulation (EU) 2023/1230 requires digital instructions for use to remain accessible online throughout the machinery’s expected life and for at least ten years after it is placed on the market.
The clock for digital instructions
Article 10(7) sets a minimum of ten years from placing the machinery or related product on the market. If the expected lifetime is longer, online access must last for that longer lifetime. The file must also be printable and downloadable so users can save it for access at any time, including during a breakdown.
Do not mix up other records
Article 10(3) separately requires manufacturers to keep technical documentation and the EU declaration of conformity available to market surveillance authorities for at least ten years after placing on the market or putting into service. Article 10(8) sets an online availability rule for digital EU declarations of conformity. These are distinct from the user-facing instructions.
Plan for changes and handover
Maintain a stable way to reach the right model and language, preserve versions and assign an owner for hosting after product lines end. Test downloaded copies and paper request handling. A digital twin or AR layer can make guidance easier to use in the field, while the required instructions remain available in a compliant format. Review the current regulation for the specific product.
